Privacy Policy — CloserMate

CloserMate ("CloserMate," "we," "us") provides real-time AI sales coaching software (the "Service") consisting of a desktop application and a web dashboard. This policy explains what information we collect, why, and how you can control it.

1. Information we collect

2. How we use your information

To deliver the core Service: live coaching suggestions, call transcripts, summaries, and scorecards.
To automatically join calendared meetings, if you've connected your calendar.
To process payments and manage your subscription.
To improve the quality of our coaching recommendations over time. Content from calls may be used to refine the tactics and phrasing our system suggests to you and other users. We do not sell call content or transcripts to third parties. You can turn this off at any time in Settings → Data & Privacy ("Help improve CloserMate's coaching") — when disabled, your calls are never used to improve coaching for anyone else.
To provide customer support and respond to your requests.
To maintain the security and reliability of the Service.

3. Third-party service providers

We rely on the following providers to operate CloserMate. Each processes a subset of your data solely to perform their function for us — they don't independently use it for their own purposes:

OpenAI and Groq — process call transcripts and audio to generate live coaching suggestions, summaries, and (for Groq) speech-to-text transcription.
Recall.ai — provides the meeting bot that joins your calls to capture audio/video and produce transcripts, and (if connected) reads your Google Calendar to know when to join.
Supabase — hosts our database and authentication; stores your account, call, and transcript data.
Stripe — processes payments and stores your payment method.
Google — provides Calendar access if you choose to connect it (see Section 4).

4. Google user data

If you connect Google Calendar, CloserMate requests exactly two scopes:

calendar.events.readonly — read-only access to your calendar events, used solely to detect upcoming meetings and schedule our notetaker to join them.
userinfo.email — your Google account email, used to identify which calendar is connected.

CloserMate's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google Calendar data for advertising, and we do not allow humans to read it except as necessary for security, legal compliance, or with your consent.

You can disconnect Google Calendar at any time from your CloserMate settings, or revoke access directly at myaccount.google.com/permissions. Disconnecting stops future calendar reads immediately; it does not retroactively delete meetings already scheduled.

5. Data retention and deletion

We retain your account and call data for as long as your account is active, so you can access your call history. You can permanently delete your account and all associated data yourself at any time from Settings → Data & Privacy → Delete account — this immediately erases your calls, transcripts, recordings, coaching data, Sales Brain, and cancels any subscription. You can also request deletion by contacting us at hello@closermate.ai, and we will delete your data within 30 days, except where we're required to retain it for legal, tax, or fraud-prevention purposes.

6. Data security

We use industry-standard measures to protect your data, including encrypted connections (HTTPS/TLS), database-level access controls, and API authentication. No system is perfectly secure, and we can't guarantee absolute security.

7. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal data, or to object to certain processing. To exercise these rights, contact us at hello@closermate.ai.

8. Children's privacy

CloserMate is a business tool not directed at children, and we do not knowingly collect data from anyone under 18.

9. Changes to this policy

We may update this policy from time to time. We'll post the updated version here with a new "Last updated" date, and for material changes, we'll notify you directly.
